TIFF Rendering & Document Imaging

Group IV TIFF is the standard raster image format for most document productions. Our high-speed conversion service produces single-page and multi-page TIFF files alongside PDFs, each paired with OCR results that convert scanned or imaged pages into machine-readable, searchable text supporting bookmarks and keyword searches inside a review platform.

Quality control runs throughout the conversion process. Each page is checked to maintain best-evidence integrity, meaning the image accurately reflects the source document with no undetected alteration. Our OCR output integrates directly with Concordance, Summation, and Case Logistics, so images are ready to load without reformatting after delivery.

Native & Near-Native File Exports

Not every document images well. Spreadsheets, databases, and certain structured data lose critical information when flattened into a TIFF. In those situations, native file production, delivering files in the format in which they were originally created, such as .xlsx or .csv, preserves the full content and functionality the receiving party needs.

Near-native production handles files like emails or proprietary database records by converting them into closely related formats, such as .msg or delimited text, while retaining most of the original metadata. Under the Federal Rules of Civil Procedure, electronically stored information generally must be produced in the form it is ordinarily maintained or in a reasonably usable form, and our export workflows are built around that standard.

Load-File Preparation & Metadata Bridges

A load file is a delimited file that carries metadata and page-level references so TIFF images or native files can be imported into a document review platform. Group IV TIFF images don’t retain a document’s original metadata on their own, which is why a separate load file is required to carry that data into Concordance, Summation, or a comparable system.

We build the technical metadata bridges that load-file formats require entirely in-house. Bates numbering, field mapping, and metadata extraction are handled alongside imaging rather than handed off to a separate vendor, keeping metadata aligned with the images and reducing the mapping errors that can appear when production and load-file preparation are split between two service providers.

New York Compliance Considerations for Digital Productions

New York’s CPLR 4539 addresses the admissibility of reproduced business documents. Under 4539(a), a business’s own accurate reproduction of a document can be admissible as the original when made in the regular course of business. Section 4539(b) extends that admissibility to image-based reproductions, such as scanned documents, provided the reproduction process prevents undetected alteration. For federal matters, the Eastern District of New York’s model ESI protocol specifies single-page, black-and-white Group IV TIFF images at 300 x 300 dpi when parties haven’t agreed to different production terms.
